ORCA · Dunning Automation

Go beyond automated payment reminders.

A dunning sequence sends the next scheduled message and waits. The moment a customer actually replies — with a question, a dispute, or a promise — the automation stops and a person has to take over.

ORCA picks up exactly where the reminder ends. It decides what each account needs next, interprets the reply, tracks the promise, and follows through until the invoice is settled.

Definition

What is dunning automation?

Dunning automation schedules payment reminders. ORCA goes further — it decides what each account needs after the reminder, interprets the reply, tracks the promise and follows through, instead of stopping at the next scheduled message.

Dunning is the sequence of notices sent as an invoice ages. Automating the send is the easy part. What ORCA adds is everything that has to happen once the customer responds.

The limit

Where scheduled dunning stops.

A dunning schedule is a fixed calendar of messages: day 3, day 7, day 14. It runs the same way whether or not anyone is listening on the other end.

The schedule has no answer for a real reply. A customer who writes back with a query gets the next templated notice anyway, or the sequence pauses and a person has to step in. Either way, the automation has reached its edge.

That is the difference between sending reminders and collecting. The message going out is not the work — reading the response and deciding the next move is.

How it works

From dunning sequence to worked account.

ORCA treats each reminder as one step in working the account, not the end of it — and acts on whatever comes back.

Decide the next action

After a reminder, ORCA decides what the account actually needs next rather than defaulting to the next scheduled message.

Interpret the reply

Reads a question, a dispute or a promise and responds in context, instead of firing the sequence regardless.

Track the promise

Captures every commitment to pay and watches it against its date, so a promise made in a reply is not forgotten.

Follow the broken promise

When an expected payment does not arrive, ORCA changes the account state and moves to the next action on its own.

Adapt the cadence

Adjusts channel and timing to how each customer actually responds, rather than holding everyone to one fixed calendar.

Escalate the exception

Routes sensitive customers and judgment calls to your team with full context, not a blank ticket.

Control

Keep tone and timing under policy.

Going beyond a fixed schedule does not mean going off-script. ORCA acts within the tone, timing and channel rules your team sets, and every message and decision is visible and reversible.

  • Tone and language boundaries you define
  • Contact timing and channel rules per segment
  • A complete audit trail on every message and decision

Autonomous execution only happens within the boundaries you set.

Compare

Dunning automation vs AI collections.

Dunning automation is about the outbound schedule: which notice goes out, and when. It is a genuine improvement over sending reminders by hand, but it ends at the send. AI collections is about what happens next — reading the response, deciding the action, tracking the promise and following through until the account resolves.

ORCA does both. It runs the dunning cadence and carries each account past it, so a reply never stalls the work. Dunning is one step within accounts receivable automation; for the wider span from overdue to paid, see invoice collections automation.
